How We Work

Hours of Operation

​Our hours of operation are based on Pacific Standard Time. As we deeply value remote work, we strive to maintain a healthy work-life harmony for our team and clients.

Meetings

We value your time and ours. To ensure smooth scheduling for everyone, we kindly ask for at least 24 hours' notice if you need to reschedule or cancel a meeting. We are equally committed to honoring our appointments and being punctual.


Cancellations made within 24 hours of a scheduled meeting will incur a $50 cancellation fee.

Confidentiality

We are committed to maintaining the highest level of confidentiality and ensuring your information remains secure. Your data will never be shared with third parties. As part of our client offboarding process, all documentation will be returned to you upon project completion and payment.

System Access

To maintain security, we ask clients to grant access by adding us as members, admins, or editors to their files and cloud storage instead of sharing passwords.


We also recommend setting up a dedicated email address, (if applicable); Examples include support@yourbusiness.ca or support@yourbusiness.com.


Alternatively, giving us a delegate access to streamline communication with your clients.

Payment and Invoicing

All packages must be prepaid via electronic transfer or credit card. Invoices are sent electronically on the 1st of each month, and services will commence upon receipt of payment.


Electronic transfer payments can be sent to jeanne@solutionsbyjeanne.com. We are setup for auto-deposit, and therefore, security questions and answers are not required.

Refunds

When you invest in our services, we deeply value our partnership and the time we dedicate to your success. Your booking reserves our time exclusively for you, ensuring our full focus on your project and success.


For this reason, we are unable to offer refunds or carry over unused hours.

Working Together

Collaboration is at the heart of everything we do. We’re committed to building a dynamic and transparent partnership, ensuring smooth communication, aligned expectations, and measurable progress.

Communication

While we aim to respond to all calls, and emails within 24-48 hours during business days (Tuesday through Friday), response times may vary depending on workload and priorities. If any delays occur, we will keep you informed.


We strive to:

  • Respond to emails and messages in a timely manner.
  • Proactively check in and gather feedback as needed.
  • Offer thoughtful recommendations and solutions.
  • Maintain open and transparent communication throughout our collaboration.

If urgent matters arise, please indicate “Urgent” in the subject line or message, and we’ll do our best to accommodate.

Collaborative Execution & Ongoing Support

A strong partnership is built on clear communication and shared progress. We believe in keeping you informed, aligned, and supported throughout our work together.


To maintain transparency, we:

  • Provide updates as needed to keep you informed on key deliverables and progress, unless otherwise specified in our Agreement.
  • Check in periodically to ensure priorities remain aligned and address any evolving needs.
  • Offer strategy discussions upon request to review achievements, insights, and opportunities for improvement.

We’re committed to open communication and structured execution, ensuring a smooth and results-driven collaboration.

Turnaround Times

We understand that business needs can evolve, and we remain adaptable to shifting priorities while maintaining efficiency and clarity.

  • Project and task timelines will be outlined in the Scope of Work and adjusted only if necessary.
  • We’ll communicate expected completion times upfront and keep you informed of any changes.
  • Urgent requests may be accommodated based on availability and may require an adjusted timeline or additional scope discussion.

Setting clear expectations and keeping communication open allows us to execute efficiently while staying in sync with your business objectives.

We’ll kick things off with a 60-90 minute call to align on priorities, finalize workflows and schedules, identify key milestones, and assign tasks—ensuring a smooth and productive start.

We’ll keep the momentum going with ongoing support and open communication, ensuring a smooth and results-driven collaboration. We’ll also assess progress, celebrate successes, and explore opportunities for further optimization.
